QuickBooks™ Company File Operations

Help fix your QuickBooks™ Company File

We know you are backing up your QuickBooks™ Company File diligently right? Unfortunately, sometimes bad things happen. Mistakes are made and unforeseen circumstances arise. Now all of a sudden you have been left with one copy of your QuickBooks™ Company File and somehow after years of wear and tear, you find it is not functioning properly. Certain operations will no longer work, or the file just won’t open altogether.

Do you have any of the following issues:
  • You receive error messages when working in QuickBooks™
  • QuickBooks™ shuts down when you click to save a transaction
  • Discrepancies appear on reports; that is, invoices or bills that post with a negative value
  • Deposited payments show up in the “Payments to Deposit” window
  • You experience power surges or dropouts, abnormal shutdowns, computer crashes, or “Company file in use, please wait,” messages
  • Balance sheet reports are not showing all accounts
  • Names are missing from lists
  • Transactions are missing
  • The company file won’t open
  • Transactions can’t be saved

Not experiencing any of these problems yet? Press F2 to open the Product Information screen and check the number to the right of DB File Fragments – if it’s higher than 10 it’s just a matter of time.

It’s extremely important not to ignore the signs because once a file is corrupted your company file may suddenly freeze up and won’t open. In this case, you usually have no choice but to either restore a backup (you are backing up your QuickBooks™ file often, right?) or send the file away to specialists such as ourselves. The latter option is very bothersome for most, as you will probably be without your Company file for a number of days while we pull it apart and put it back together.

  • Limited Disclosure for Legal Engagements

When legal disputes arise that require the disclosure of financial information (often due to law suits, arbitration, IRS audit etc.) we have developed a method to create a QuickBooks™ file for only the time period in question. By divulging only limited financial information to third parties you avoid the risk of revealing sensitive information and possibly damaging your case .

  • Put the Quick back into QuickBooks™

Does your QuickBooks™ seem more like “CrawlBooks”?We’ve developed some methods to speed things up.

  • Converting Enterprise files to Pro/Premier Format

It is common for a company that has purchased QuickBooks™ Enterprise in the past to no longer need it’s benefits in the future (often due to downsizing, creation of a spinoff or simply not fully utilizing QuickBooks™ Enterprise). We specialize in reverting QuickBooks™ Enterprise files to the Pro/Premier Format.

  • Customer List full of Old Names?

If your QuickBooks™ file is reaching the maximum number of customers or you simply want to clean up your file, we have developed a service to remove old unneeded customers that reduces the customer list size and ultimately returns a cleaner file.

  • Get Rid of Old Unused Items

Item Lists within QuickBooks™ are notorious for growing out of control. This service will merge old service and non-inventory items that are no longer needed and return you a cleaner file.

  • Not Really Tracking Quantities on Certain Inventory?

Often when creating a new QuickBooks™ file, errors are made that will affect the file in perpetuity which cannot be fixed. Creating Inventory Items when Non-Inventory items should have been used is one of these errors. We have developed a service to remedy this problem and retroactively fix past transactions (if desired).

  • Did Condensing Your QuickBooks™ Screw It Up?

The QuickBooks™ condense process is notorious for causing issues with QuickBooks™ files and many of these problems revolve around the condensed journal entries created in the process. We have tools to add, delete, or merely fix these journal entries so that your file operates effectively.

  • Just realized you need to change a ton of documents or items in QuickBooks™?

Should you come across a situation where you need to make blanket changes to a large mass of transactions but the time required to make the change is daunting, consult us. We make changes in mass to large groupings of transaction or lists. Common Examples include adding a “V” at the end of each vendor name to distinguish from other names lists, removing the “billable” flag on Bills and Credit Card Entries, or Changing the account type associated with certain transaction (e.g. COGS to Expense). We can save you a great deal of time an effort at a fraction of the cost.

  • Taxes got screwed up? Never heard that before…

In today’s world where businesses must operate in many localities simultaneously, they may be required to pay sales tax in each of those localities. Sales Tax is often a misunderstood part of the QuickBooks™ program and thus many mistakes can be made in the process throwing balances to individual tax agencies off. We have a service to correct these balances, reset all Sales Tax Items to comply with the actual balances and assist in keeping them accurate and functional.

We also recommend Avalara Sales Tax Integration (Let Avalara do the work and keep it straight).

  • Old time entries keep rearing their heads

Large amounts of unneeded Payroll or Timesheets within a QuickBooks™ file can be a hindrance to successful completion of tasks in a timely manner. This service can remove that old and unneeded data to allow you to start with a clean slate.

  • You could hire an employee to do this, or pay less to have us import.

QuickBooks™ does not allow the importation of price levels by item, but we have developed a service to accomplish exactly that. This service is less expensive, faster and more accurate than manual entry.

  • You’ve reorganized your company, reorganized your company, now you to classify past documents

Avoid adding classes to all transactions manually. With this service we can add classes quickly and make you more efficient.

  • Sales Orders slowing your file down?

Closed Sales Orders are a major source of poor file performance. This service deletes closed sales orders providing a less expensive alternative to a full shrink.
